Creating Resource Breakdown Structure (RBS)

The RBS is the reserved Enterprise Resource Outline Code 30 that is used for Resource Management. RBS helps to determine the resources and the assignments that a user can view in the Resource Center when they are using Microsoft Project Web Access.RBS offers the following advantages:
• A user can view all resources that are less than the user's RBS value in a category where the Allow users in this category to view information for all resources that they manage option is turned on.
• RBS filters the output in the Portfolio Modeler, the Portfolio Analyzer, and the Resource Substitution Wizard to show only those resources that are less than or equal to the RBS value of the user. The filter reduces the time that it takes to display the information. Note By default, the My Resource category will display the filter level.

RBS Example

PM1 --> Team Leader --> Team Member
PM2 --> Team Leader --> Team Member

To create the RBS Lookup Table for this example, follow these steps:
1. Log In administrator account -> go to Server Setting -> In Enterprise Fields -> click on Enterprise custom field

2. Lookup table -> Click RBS

3. Set the Look up table Value -> must be indent as resource structure -> define code Mask



4. Save Look up table.
Now Go to PWA Home page -> Resource Center -> select resources- > Open Enterprise Resource pool
1. Insert Columnà RBS -> Define level form lookup table of every users
Can follow another process for RBS define on User i.e.
Go to Server Setting -> Manage User -> Edit in User-> Define RBS for Lookup



Save all user’s or enterprise Resource pool and checked in properly.

The Project Server administrator must initially complete the following two actions:
After completing the above actions, the Project Server administrator must modify the My Projects category and the Project Managers group as follows:
1. Log into PWA with administrator permissions
2. Click Admin - Manage security
3. Select the My Projects category and click on Modify
4. In the Resources section, select the first three checkboxes (the first two are already selected by default)
5. Click the Save Changes button
6. Click the Manage Groups link in the sidepane, and then click the Groups link sidepane
7. Select the Project Managers group and Modify
8. In the Categories section, remove the My Organization category
9. Make sure the My Projects category is selected
10. In the Permissions grid of the Categories section, set these additional permissions to allow:
Assign Resource
See Enterprise Resource Data
11. Do not change any of the other permissions in the Permissions grid
12. Click the Save Changes button
Now Log in PWA by User (PM1 login ID) -> click Resource Center -> than view as


Permission Instruction

Project permissions:
1. ‘‘A resource on the project’s Project Team is a descendant of the User via RBS’’. à Allows a user to view any project where a resource is subordinate to the user in the RBS and the resource is on the project team.
Note: Avoid using this rule for users who have many resources under them in the RBS. If the resources under them are on a lot of projects involving many categories, this stress on the authorization system can affect performance (for example, delay the loading of the Project Center page).
2. “The Project Owner is a descendant of the User via RBS the Project Owner is a descendant of the User via RBS” à Gives users permissions on any project that is managed by resources subordinate to them in the Resource Breakdown Structure (RBS) hierarchy.

Resource permissions:
1. ’‘They are descendants of the User via RBS’’-> Gives users permissions to view information for all resources under them in the RBS.
2. “They are direct descendants of the User via RBS”-> Gives users permissions to view information about resources that are directly under them in the RBS.
3. “They have the same RBS value as the User” -> Gives user permissions to view information about resources that have the same RBS value.
